Key Features of the OpenPhone Integration
Phone Number Matching
HostBuddy automatically matches phone numbers with reservations in your Property Management System (PMS).
When a match is found, HostBuddy can respond on your behalf via text message with full reservation context.
If no match is found, you can create a contact match manually to manage guest or vendor communication directly in platform.
Call Transcript Summaries
HostBuddy will receive transcript summaries from OpenPhone calls by default.
Summaries are automatically added as notes with HostBuddy having visibility in the Contact Notes section.
This ensures HostBuddy remains fully informed about all communications.
Matching and Assignment Instructions:
Creating a Contact for Unmatched Numbers
Go to the Inbox section in HostBuddy.
Select the contact that is not matched to a reservation.
Click Edit in the contact information panel.
Enter the contact’s name and save.
Example use case: Save vendor details to manage all communications in one place.
Note: HostBuddy will not automatically respond to vendors.
Assigning a Property to a Contact
For unmatched guest messages, you can assign the phone number to a property.
Once assigned, HostBuddy can communicate on your behalf.
Manually Linking a Phone Number to a Reservation
Navigate to the reservation in HostBuddy.
Click Edit in the Contact Information section.
Paste the phone number and click update to link it to that reservation.
